Managing multiple artworks can be time-consuming. The Inventory Selection Cart lets you email, list, create PDFs for, edit, and archive many works at once. This article covers the selection cart on the Inventory page in the web app.

Add works to the selection cart

  1. On the Inventory page, click an artwork’s image to select it. A checkmark appears on the image and the work is added to the selection cart.

  2. Click the selection cart button at the top right of the page, next to Add Works. It shows how many works are selected. Click it to open or close the cart.

  • The cart opens automatically when you select your first work.

  • To remove one work from the cart, hover over its image in the cart and click the X. Click a work in the cart to open it.

The icons at the top of the cart are, from left to right: Email Selected, Add to List, Remove From List, Create PDF, and the three-dot menu. Remove From List only appears in some cases, explained below.

Email selected artworks

  • Click the Email Selected icon to open Email Selected Works. Choose which details to attach (Alternate Views, Provenance & History), which caption fields to show (Prices, Status, Location, Inventory Number), and whether to attach a Tear Sheet or Fact Sheet PDF.

  • Click Compose Email to start a Smart Mail with the works.

Add to list or remove from list

  • Click the Add to List icon to open Add Inventory to. It has tabs for List, Exhibition, Fair, and Selection, plus a search box. Click an existing list to add the works, or click Create and Add to List to create a new one.

  • The Remove From List icon only appears when you are viewing a list that is not a live list. Click it to remove the selected works from that list. For more detail, see How to batch remove works from lists.

Create PDF

  • To generate a PDF of the artworks in your cart, click the Create PDF icon to open Create a PDF. Choose a document type:

    • List

    • 4 per page

    • 2 per page

    • Tear Sheet

    • Fact Sheet

    • Data Sheet

    • Wall Labels

  • Enter a file name, choose what to include, and pick a paper size and price label. The options depend on the document type, for example Prices, Availability Status, or Work Status.

  • Click Download PDF, or click Next (Edit PDF) to adjust the PDF first. PDFs created from the cart use the order of the works in the cart. For more detail, see How to generate PDFs for selected works.

Batch edit availability, work status, location, and customs

  • Update many artworks at once:

    1. Add artworks to the selection cart by clicking their images.
