Written by Kalila Richards

In ARTERNAL, you can create PDFs from selected works in seven formats: List, 4 per page, 2 per page, Tear Sheet, Fact Sheet, Data Sheet, and Wall Labels. Here’s how.

Step 1: Access the Inventory Tab

  • In the top menu bar, select the Inventory tab.

Step 2: Add Works to the Cart

  • Select the checkbox on the works' images to add them to the Selection Cart. You can multi-select works by checking multiple boxes.

Step 3: Access the Inventory Cart

  • Once you select works, the inventory cart appears in the top right, next to Add Works. Click the download icon (Create PDF) to continue.

Step 4: Create the PDF

  • In the Create a PDF pop-up, type a name in Filename.

  • Choose a PDF type: List, 4 per page, 2 per page, Tear Sheet, Fact Sheet, Data Sheet, or Wall Labels.

  • Under Include, use the toggles to choose which details appear on the PDF. Each PDF type has its own toggles. List Title is greyed out when you create a PDF from the Selection Cart.

  • Choose a Paper Size, A4 or US Letter. It starts on your account default (set in Settings > Account > PDFs) and applies to this PDF only.

  • Choose a Price Label. The options are Default, Display Price, Retail Price, Purchase Price, and Net Price.

  • Under Select custom footer, choose a footer, or click Add additional footers.

Step 5: Download or edit the PDF

  • Click Download PDF to download the PDF right away.

  • To change the text first, click Next (Edit PDF). Make your edits, then click Preview PDF. Click Go Back to return to the Create a PDF pop-up.

  • In the preview, click Download PDF. Click Back to Edit if you want to make more changes.

Data Sheet options

  • The Data Sheet toggles include Shipping Notes, Metric Dimensions, Location & Sublocation, Total Cost, Retail Acquisition Value, Price Last Updated, Availability Status, and Work Status.

  • Show Sold By adds the seller recorded on the sale, in its own column. It is off until you turn it on. Nothing shows for works that are not sold.

Wall labels

  • Choose Wall Labels to print labels for your works on Avery label sheets.

  • Under Avery Template, pick Avery 8923/18163 (2 x 4", 10 per page) or Avery 8160 (1 x 2 5/8", 30 per page).

  • Each label shows the artist, title, inventory number, and year. Labels fill in order from the top left, and unused labels stay blank.

  • Show Cutting Guides is on by default. It draws a dotted outline around each label.

PDF settings

  • Go to Settings > Account > PDFs to set your PDF defaults.

  • Show Sold By turns the seller on or off for Data Sheets. It is the same setting as the toggle in the Create a PDF pop-up, so changing one changes the other. It stays on after you close the pop-up and reload the page.

  • PDF Size: A4 changes generated PDFs to A4 instead of letter.

  • Hide Currency Codes removes the 3-letter currency code, such as USD or GBP, from prices on generated PDFs.

  • These are your own settings. They do not change anyone else's.
