In Inventory, you can use filters to quickly find the works you are looking for. Results update as soon as you set a filter, and the list shows how many works match.

How to apply filters

  1. Open the filter list:
In Inventory, click Filter next to the search box. A searchable list of filters opens. Pick one to add it.

  2. Use the Location filter:
For example, to find works in New York or Paris, select both locations. Then choose a match option.

    • All: A work must match every selected location. Each work has one current location, so choosing New York and Paris with All shows no works.

    • Any: Shows works in any of the selected locations. Use this to see works in New York or Paris.

    • Not: Hides works in the selected locations.

    • Contains: Type a word to find locations whose name includes it.

    • Is Empty: Shows works with no location.

Other useful filters

  • Height, Width and Depth: Each has a unit choice (inches, cm, framed inches or framed cm) and Min and Max boxes.

  • Sold To: Type a buyer's name to find works sold to them.

  • More filters: Artist, Title, Medium, Year, Price, Inventory #, Sublocation, Work Status, Tags, Edition, Notes, Additional Notes, VAT Status, Customs Status, Invoice Status, Association and Location History. Your organization's inventory custom fields also appear in the list.

Using date filters

The date filters are Date Added, Last Updated, Last Clickthrough, Location History Date and Sold Date. Here is how to use them.

  • Pick a date filter, such as Sold Date.

  • Choose Time Period or Date Range.

  • With Time Period, choose Since or Not Since, then a preset (Today, Last Week, 2 Weeks Ago, Last 31 Days, 6 Months Ago or 1 Year Ago). Since finds works on or after that point. Not Since finds works on or before it.

  • With Date Range, enter a start and end date.

Applying multiple filters

Click New filter to add another filter. Works must match all of your filters. For example, you can combine Artist, Sold To and Sold Date. Click Clear Filters to remove them all.
