How to create an e-invoice (XRechnung or ZUGFeRD)

Download any invoice as an XRechnung or ZUGFeRD e-invoice for clients and accounting systems that need it.

Written by Kalila Richards

You can download any ARTERNAL invoice as an e-invoice. There are two formats:

  • XRechnung is an XML file. It's made for accounting software, not for reading.

  • ZUGFeRD is a PDF that looks like your normal invoice, with the e-invoice data built in.

Ask your client or accountant which one they need.

E-invoicing is turned on by request. If you don't see the E-Invoicing section in Settings, contact us and we'll turn it on for you.

Step 1: Add your gallery's details

You only need to do this once, before your first e-invoice.

  1. Go to Settings, then Transactions.

  2. In the E-Invoicing section, fill in your Organization Email, Organization Phone Number, VAT ID, and Tax Number (Steuernummer).

Each field saves when you click out of it.

Step 2: Check the invoice

Open the invoice and make sure it has:

  • A due date.

  • A Bill To contact with an email address and a postal address.

  • At least one work or custom line item.

Your gallery's address on the e-invoice comes from the Point of Sale address on the invoice.

If the due date is missing, you'll see "Invoice due date is required" and the e-invoice won't download. If the Bill To details or the line items are missing, the file still downloads, but your accounting software will reject it.

Step 3: Download the e-invoice

  1. Open the invoice.

  2. Click the ⋮ menu at the top right, next to Download PDF.

  3. Choose E-Invoice (XRechnung) or E-Invoice (ZUGFeRD).

The file is named after the invoice title.

Step 4: Send it to your client

The Send step in ARTERNAL doesn't include the e-invoice file. Attach the file you downloaded to your own email to the client, or upload it to your accounting software.

❓FAQs

Q: Which format should I use?

A: Ask your client or accountant. If they aren't sure, ZUGFeRD is a good choice, because it also opens as a normal PDF.

Q: My accounting software rejected the e-invoice. What should I check?

A: Check that the invoice has a due date, that the Bill To contact has an email address and a postal address, that there's at least one work or line item, and that your E-Invoicing settings are filled in. If it's still rejected, send us the error message.

Q: Why don't I see the E-Invoice options?

A: E-invoicing is turned on for each login separately. Contact us and we'll turn it on for yours.
