If a document already lives in your ARTERNAL library, you can link it straight to an artwork instead of uploading a second copy. This keeps one version of each fact sheet or certificate in your account, connected to as many works as you need.
🎥 Watch the quick walkthrough below:
Step 1: Open the Artwork
In the Inventory tab, select the work you want to add documents to.
Scroll down to the Documents section.
Step 2: Click Add Docs
Click Add Docs. The document browser opens on the Documents tab, showing everything already in your library.
Step 3: Find the Document
Scroll the list, or type part of the file name in the search bar to filter it down.
Step 4: Select and Link
Click any document to select it. Selected files are highlighted and marked with a check.
Keep clicking to select as many as you need — a counter at the bottom tracks your selection.
Click Add Documents. Everything you selected is linked to the artwork at once.
Step 5: Uploading Something New
If the document isn't in ARTERNAL yet, switch to the Upload tab in the left-hand panel.
Drag files into the box or click to browse your computer, then click Add Documents.
Uploaded files join your document library, so you can link them to other works later without uploading again.
Frequently Asked Questions (FAQ):
Q: Will linking a document create a duplicate?
A: No. Linking connects the existing file to the artwork — there's still only one copy in your library. Documents already linked to the work are marked so you don't attach the same file twice.
Q: Can I link one document to more than one artwork?
A: Yes. The same document can be linked to as many works as you need.
Q: What file types can I upload?
A: jpg, png, gif, webp, avif, documents, and videos. Images have a 25MB limit.
Q: How do I rename or remove a document on an artwork?
A: Use Edit Docs in the Documents section. This button appears once the artwork has at least one document linked.
