The Paste-In Caption Parser lets you paste an artwork caption and automatically extract and populate inventory fields, saving you time and reducing data entry errors.

How It Works

The AI Caption Parser scans your pasted caption and identifies common artwork details like artist, title, year, medium, dimensions, and pricing. Before anything is saved, you’ll review and adjust the extracted fields to make sure everything looks right.


Step 1: Open the Caption Parser

Navigate to an artwork record and click the "Paste Caption" button in the Basic Info section.


Step 2: Paste Your Artwork Caption

In the modal that appears, paste the full artwork caption text. This can include any combination of artist name, title, year, medium, dimensions, price, edition information, and other details. The caption does not need to follow a specific format.


Step 3: Convert the Caption

Click the "Convert" button. The AI will analyze your caption and extract the relevant data into the appropriate fields.


Step 4: Review Extracted Fields

A review screen will display all the fields the AI extracted from your caption. Here you can:

  • From here, you can:

    • Verify values to confirm accuracy

    • Edit inline by hovering over a field and clicking the Edit/Replace button.

    • Reassign fields if something was mapped incorrectly

    • Confirm artist matching if the artist already exists, or create a new one

    Any information the AI can’t confidently identify will be flagged for manual review.


Step 5: Save the Fields

Once everything looks good, click Save Fields to apply the data to the artwork record.

You can continue editing the artwork normally after saving.


What the AI Can Extract

The Caption Parser can identify and populate the following fields:

  • Artist — Matched against your existing artist records

  • Title — Including multi-line titles

  • Year — Creation date

  • Medium — Materials and techniques

  • Dimensions — Height, width, and depth (including framed dimensions)

  • Dimensions (Metric) — Automatic conversion when applicable

  • Price & Currency — Including price ranges (e.g., $85,000–$110,000 USD)

  • Edition — Edition umbering (e.g.,"Edition of 25")

Q: Where do I find the Paste Caption button?

A: The Paste Caption button is located in the Basic Info section of any artwork record.

Q: What format should my caption be in?

A: You can paste captions in any standard format. The AI is designed to handle various caption styles commonly used. Whether it's from a gallery checklist, auction catalog, or consignment sheet.

Q: What if the AI assigns data to the wrong field?

A: No problem! On the review screen, you can hover over any field and click the edit/replace button to swap values or manually correct the assignment before saving.

Q: Will the AI create a new artist record automatically?

A: The AI will first try to match the artist name against your existing database. If no match is found, you'll be prompted to confirm whether to create a new artist record.

Q: Can I edit the fields after saving?

A: Yes. The fields populate your artwork record just like any other data entry, so you can always go back and edit individual fields as needed.

Q: What happens if the AI can't identify certain information?

A: Any unmatched or uncertain fields will be clearly surfaced on the review screen so you can address them manually.
